Scaling without stress: How Isabelle assists engineers in staying organized and on track
At Catalay, we understand that successful projects depend as much on human dynamics as on technical expertise. That’s why having someone like Isabelle on your team, a technical assistant who excels at facilitating communication and resolving roadblocks, can make all the difference.
In her own words, she explains how a thoughtful, structured approach to organization not only clears roadblocks but also builds stronger, more collaborative teams.
What I’ve learned: Tensions aren’t always about tech
From my perspective, delays in projects rarely come solely from technical issues. More often, human tensions are the main obstacle. When communication breaks down and misunderstandings multiply, the project stalls, and that’s when I step in.
My role is to bridge the gap between field teams and management, acting as a mediator who facilitates clear, productive exchanges.
Here’s how I do it:
1. Bringing everyone together to build a shared action plan
My first priority is to gather all stakeholders around a clear, common objective. In these meetings, hierarchy takes a back seat. Everyone can express their needs, frustrations, and ideas openly.
Together, we identify risks, set clear and realistic goals, and assign responsibilities in a constructive way. This collaborative foundation is key to moving forward.
2. Structuring communication to prevent misunderstandings
Once the framework is defined, I implement a clear communication strategy using key tools:
- Appointing delegates and clarifying their roles
- Scheduling regular meetings to maintain open dialogue
- Writing and distributing meeting notes to keep everyone informed
- Managing a Q&A form every two weeks to avoid unanswered questions piling up
I consider these four practices essential to project success!
3. Defining the vital role of delegates
Delegates aren’t just messengers. I ensure their role goes further: structuring and reframing conversations, clarifying differing viewpoints, and setting deadlines for responses and actions. They are critical to fostering mutual understanding and sustaining constructive dialogue throughout the project.
4. Leveraging the right tools to support the team
While face-to-face exchanges are essential, I also introduce tools that enhance efficiency:
- A dedicated project email managed by a responsible contact
- 3D visuals and data tables to simplify complex information
- A collaborative platform hosting all communication materials, the Q&A form, project checklists, and initial audits
These tools keep teams aligned, even when working remotely.
5. Maintaining engagement: The human factor that makes or breaks a project
The greatest challenge is keeping everyone committed.
I work to ensure that the three pillars, (1) field teams, (2) administration, and (3) management stay united when challenges arise. Frequent, respectful, and constructive communication is what ultimately drives sustainable progress.
Why this matters for any team
From my career experience, I’ve seen that thoughtful, well-managed communication is a powerful driver of transformation. When I join a project, I bring not just organizational skills but a human-centered approach that eases tensions, streamlines exchanges, and builds lasting collective intelligence.
No matter the industry or technical complexity, I help teams work better together, and deliver results faster.
